The Plan
Every dentistry we’ve worked with has a list of “gold tier” patients. These are patients who have attended multiple visits, left a review, pay on time, and never miss an appointment.
After we’ve identified upcoming gaps in the next few days, we look at future appointments 1-3 weeks out.
We’re searching for appointments with our “gold tier” patients.
After we’ve found them, we’ll quickly cross reference their insurance plan to ensure an earlier appointment will not be out of scope of their plan.
Next is the offer.
Some of our clients reach out to the “gold tier” client with just the ask to reschedule to the earlier time. And it occasionally works.
But an offer to sweeten the deal for the patient works over 50% of the time.
So What’s the Offer
The offer depends on the person. And hopefully you have notes in the client’s file to better understand their motivations.
- Do they like a specific restaurant? Offer a gift card.
- Do they have young kids? Offer a gift card to kid’s museum.
- Do they ride motorcycles? Offer a gift card to Amazon and call out “for your motorcycle.”
And the amount does not have to be as much as an offer to capture a new patient. So start out with something between $25-50. Remember it’s a test your front of the office team can run and should keep notes on.
The goal is to build this into a playbook that you can run periodically to fill a day’s calendar in short notice.
